Zenefits Payroll Quarterly Checklist and Key Dates

When managing your payroll, it's important to note a few key dates to ensure that the Zenefits Payroll Tax Team is able to file and make payments on your behalf in a timely and accurate manner. Take a look below at some of the action items and dates to look out for.

Double Check Key Information

[  ] Make sure your company's information s up to date. Verify that you've entered a tax ID in payroll for every state where your employees live or work, for instance.
[  ] Make sure your workers' personal information (name, address, SSN, etc) is correct and up to date.
[  ] Make sure your workers' payroll data is correct. Double check that their earnings and deductions total up to the amount you expect and that you haven't forgotten to account for any manual or voided checks.
[  ] Check to confirm that the tax rates for every state have been updated to the accurate percentage.
[  ] Check if you have received any oustanding tax notices from any tax agencies and follow up with Zenefits Customer Care to investigate further.

Reporting Any Necessary Updates to Us

[  ] Report any requested changes to your levels of service for any states to Zenefits Customer Care before the last business day in the quarter.
[  ] Report any oustanding payroll corrections to Zenefits Customer Care 5 business days prior to the last business day of the quarter.
Please note any discrepancies with tax information that Zenefits Payroll has on file can delay or prevent our team from completing your tax filings and/or payments in a timely manner and can result in penalties and interest assessed to your company by the agency (e.g. incorrect tax ID, rate discrepancy, etc.). Zenefits will not cover any penalties on behalf of the company as a result of these discrepancies.

Key Dates

1st Quarter 2019
Last day to submit level of service change request - March 29th
Note: If request is submitted to switch to Full Service after this date, you will be responsible for remitting first quarter payments/filings.
Last day to submit payroll correction requests - March 25th
Note: After this date, any corrections completed will require an amendment

2nd Quarter 2019
Last day to submit level of service change request - June 28th
Note: If request is submitted to switch to Full Service after this date, you will be responsible for remitting second quarter payments/filings.
Last day to submit payroll correction requests - June 24th
Note: After this date, any corrections completed will require an amendment.

3rd Quarter 2019
Last day to submit level of service change request - September 30th
Note: If request is submitted to switch to Full Service after this date, you will be responsible for remitting third quarter payments/filings.
Last day to submit payroll correction requests - September 24th
Note: After this date, any corrections completed will require an amendment

4th Quarter 2019
Last day to submit level of service change request - December 31st
Note: If request is submitted to switch to Full Service after this date, you will be responsible for remitting four quarter payments/filings.
Last day to submit payroll correction requests - December 25th
Note: After this date, any corrections completed will require an amendment.

Note: This should only be used in the last 2 weeks of the quarter for corrections and LOS requests.
